How to Get the Most Out of Your TMC Relationship

When you work with a travel management company (TMC), you are trusting someone with one of your organization’s largest expenses. It is critical that the partnership works well for you, both from a relationship and cost-savings standpoint. Here’s what you can do to ensure success:

Choose the right travel management company

First things first, you want to be sure you’re working with the right TMC for your unique business. Look at things like cultural fit, size, price, expertise, leadership stability and more. Choosing the right partner lays the foundation for long-term success.

Share your objectives

As you would with any business relationship, be honest and upfront about your budget, goals and expectations. What are you looking to gain from the relationship? Let the TMC know so they plan and prioritize in order to achieve your goals. Be aware that as your business grows, your objectives may change. Make sure to regularly share those changes with your TMC so your partnership can evolve.

Review reports

Travel management companies have comprehensive reporting in place for a reason. When reviewed and analyzed, reports can help drive travel policies or strategies, and help you proactively plan for the future. When data is provided to you, review it. Be sure your objectives are being met and look for areas of opportunity. Work with your TMC to proactively schedule routine review calls or meetings to keep on top of your analysis.

Don’t be afraid to use your account manager

When you partner with a TMC, you’ll likely be assigned a dedicated account manager (or multiple). Use them! Of course, your account manager will be there to provide ongoing support and relationship management, but we urge you to use them beyond that. This person is likely an absolute wealth of travel knowledge. Don’t hesitate to ask them about anything related to your travel policy, programs, management, reporting — the list goes on and on. This person is an expert on all things related to your travel; capitalize on their expertise!

Take advantage of all of the offerings

If engaged in a good partnership, the right travel management company will save you time and money while making your life easier. However, you’d be surprised how many people utilize a TMC without taking advantage of all of the benefits offered.

Expense management, unused ticket tracking and reissuing, travel policy management, meeting and event planning and 24/7 support are just some of the services many don’t realize TMCs provide. Oftentimes, they can even book your family vacations, too. Who wouldn’t want to take advantage of that?!

Along the same lines, TMCs often have proprietary and/or partner software that you absolutely should be using. From booking to expense management and many things in between, using the newest and most advanced technology will help to ensure compliance, cost savings and more.

When choosing a travel management company, take time to learn about the services they offer. You may find there are even more benefits than you think!

Think of it as a long-term partnership

When you begin working with a TMC, you should take a long-view and remember that change doesn’t happen overnight. The more you get to know each other, the better you’ll work together to achieve your goals.
